Job Description

We are seeking a highly organised and proactive Part time Maintenance Coordinator to support our Head of Property & Services with the smooth operation and upkeep of our portfolio of hotels. This role is primarily administrative, ensuring that all compliance activities are efficiently scheduled, documented, and compliant including but not limited to Health & Safety, Fire and Planned Preventative Maintenance activity. You will also be required to support in the coordination of our Sustainability initiatives. You will be the central point of coordination between hotel maintenance teams, contractors, and regulatory bodies helping us maintain a safe, efficient, and environmentally responsible environment for guests and the team .


Key Responsibilities


Administrative Coordination
• Review schedules of routine servicing, inspections, and outstanding repair works.
• Maintain accurate records of work orders, service reports, warranties, and contractor details across the businesses.
• Support internal and external audits and ensure documentation is organised and that all follow up actions are completed.
• Administrative duties to support the efficiencies of Head of Property.

Vendor & Contractor Management
• Liaise with external service providers across the business to ensure that relationships are service levels are maintained.
• Ensure contractors follow hotel safety protocols and sustainability guidelines
• Maintain and update approved supplier lists and contractor credentials including insurance certificates.

Health & Safety Compliance
• Support all hotels to ensure adherence to safe systems of works and cooperate with H&S consultant advice.
• Maintain records of all audits and Local Authority visits.
• Produce a high level monthly report detailing property compliance across the businesses.
• Assist in coordinating and follow up of any corrective actions following inspections or incidents.
• Support with any training initiatives related to health and safety awareness.

Sustainability 
• Coordinate and support with third party consultants to align the hotel’s sustainability goals.
• Ensure that tracking of energy usage, water consumption, and waste management metrics is being completed by respective stakeholders.
• Assist in preparing sustainability reports and certifications (e.g. Future Plus)

Skills & Qualifications
• Experience in an administrative or coordination role, ideally within hospitality or facilities management
• Strong organisational and time management skills
• Excellent communication and interpersonal abilities
• Proficiency in Microsoft Office Suite
• Ability to manage multiple priorities and respond calmly under pressure
