As Conference Services Sales Manager, you will be responsible for managing the planning and execution of group and conference events booked at the Dupont Circle hotel. This role bridges the gap between the sales and operations teams, ensuring clients receive excellent service from contract to event completion. You will work closely with clients to understand their event requirements and coordinate all aspects to deliver a successful and profitable experience.
Essential functions:
- Act as the primary point of contact for all assigned group and conference clients from post-sale through event execution.
- Coordinate all aspects of conference planning, including room setup, AV, catering, and guestroom blocks and follow up on all changes, deletions, additions, and special requests pertaining to hotel functions.
- Collaborate with internal departments (Catering, Banquets, Housekeeping, Front Desk, AV, etc.) to ensure seamless event execution.
- Create detailed event resumes, Banquet Event Orders (BEOs), and other documentation and distribute.
- Conduct pre- and post-event meetings with clients and relevant hotel staff.
- Ensure billing accuracy and assist with final invoices and follow-up.
- Maintain accurate records in the property management system and sales software (e.g., Delphi, Opera, Thynk, etc).
- Attend sales and operations meetings, trade shows, and client networking events as needed.
- Support sales managers with site inspections and client proposals when needed.
Specific job knowledge, skill and ability:
- Bachelor’s degree in Hospitality Management, Business, or a related field (or equivalent experience).
- Minimum 2–3 years of experience in hotel sales, catering, or conference services.
- Customer-focused with a strong attention to detail.
- Ability to manage multiple events simultaneously.
- A team player with a proactive, solutions-oriented mindset.
- Strong sense of urgency and accountability
- Excellent written and oral communication skills.
- Proficient computer skills include but are not limited to Microsoft Word, Power Point, Excel, and Outlook.
