Summary

As a Purchasing Assistant, you will play a crucial role in supporting the procurement function, ensuring that all FF&E (Furniture, Fixtures & Equipment) and OS&E (Operating Supplies & Equipment) are sourced, ordered, and delivered efficiently. Working closely with the Procurement, Interior Design and Operations teams, you will help maintain high standards while ensuring cost-effectiveness, timely deliveries, and seamless coordination with suppliers.


Skills & Experience RequiredEssential Skills:
  • Basic Procurement Knowledge – Understanding of purchasing processes, supplier communication, and order tracking.
  • Attention to Detail – Ensuring accuracy in purchase orders, invoices, and delivery schedules.
  • Organisational Skills – Ability to manage multiple orders and tasks efficiently, keeping documentation well-organised.
  • Communication Skills – Confident in liaising with suppliers, internal teams, and logistics providers.
  • Numeracy & Cost Awareness – Supporting budget tracking, cost comparisons, and invoice processing.
  • Teamwork & Support – Assisting the Procurement Manager in sourcing, administration, and coordination of orders.
  • IT & Admin Proficiency – Comfortable using procurement systems, Excel, and email for order processing and tracking.
  • Problem-Solving & Adaptability – Quick thinking to assist with delays, missing items, or last-minute changes.
Experience Required:
  • Some experience in procurement, purchasing, or administrative roles (ideally within hospitality, retail, or interior design).
  • Interest in the hospitality sector and an eagerness to learn about procurement processes.
  • Familiarity with hotel operations, OS&E (linens, crockery, uniforms, amenities), or FF&E (furniture, lighting, décor) is a plus but not essential.
