 Overview

The Projects Assistant will be responsible for supporting the project management team in coordinating and executing various projects within the hotel including the refurbishment of the hotels.


Key Responsibilities

·         Assist the project management team in the planning, coordination, and execution of various projects within the hotel.

·         Help in creating project plans, timelines, and budgets.

·         Liaise with internal stakeholders, suppliers, and contractors to ensure timely and effective delivery of projects.

·         Assist in creating purchase orders in Adaco, dealing with suppliers, and managing invoices.

·         Attend project meetings and assist in preparing meeting minutes and action items.

·         Maintain and update project documentation in PROCORE and follow up with respective Contractors & Consultants

·         Coordinate with other departments in the hotel to ensure that projects are executed smoothly.

·         Provide support to the project management team as needed.

·         Upon completion of refurb projects, you will be required to assist in smaller internal projects.

·         The smaller projects would need to be followed up independently from the Facility and Maintenance team.

·         Develop and maintain a database of all other properties in the PROCORE system.

·         Manage purchase orders for any smaller projects that are handled by landlords, and route them through Landlord Adaco as needed.


Qualifications and Experience:

·         Bachelor's degree in project management, business administration, or a related field.

·         Prior experience in project coordination or project management is preferred.

·         Strong organizational and time management skills.

·         Excellent communication and interpersonal skills.

·         Ability to work well under pressure and meet deadlines.

·         Strong attention to detail and accuracy.

·         Proficient in Microsoft Office, particularly Excel, Word, and PowerPoint.

·         Knowledge of Adaco and Procore

·         Working Conditions:

 The selected candidate will be working from the hotel's head office and will be required to travel to different hotel locations in London as needed.

The role may require occasional work outside of regular business hours.
